Minutes of the PHA Committee Meeting held on 15th May 2018 at Llanelli Town Hall
Present ; Phillip Thomas, Allison Jenkins, Anastasia Griffiths, Susanne Thomas and Eldon Phillips.
Apologies from; Fred Hughes, Phillip Warlow, David Darkin, David Bannister, John Harvey, Liz Purcell and Helena Dunne.
As there were insufficient members present for us to hold a formal meeting, it was decided to go ahead with an informal discussion.
Treasurers report was circulated and accepted. A further amount, as detailed on the report, has been placed into the savings account. We need to be mindful that if our revenue exceeds £5000 in a year we would need to register as a charity.
Susanne was thanked for her hard work in organising the Music Night at the Stradey Park. The evening was a great success. Our thanks to the Town Council for their generous donation of all the wine given as a thank you to the performers. A bottle was also given to Mark at the hotel for all his help. It was noted that there was a bottleneck at the door when taking tickets and trying to sell raffle tickets, need to re-think this for future events.
Summer Family Day
Susanne has been busy telephoning and co-ordinating. We have sufficient refreshments – Sacha will provide tea, coffee and soft drinks along with bacon and sausage baps. George Lindsey will have an ice cream van plus toasties and donuts. He will also bring 4 rides. This may be reviewed depending on weather and the state of the field. There was difficulty with vehicles being bogged down last year .Four craft stalls have confirmed they will be attending. We need to think about some activities for the main field, at a reasonable cost to the public.
The constitution needs to be re written. Phillip has been doing work on this but any changes have to be agreed at an AGM. It would normally be held in September, but this month is proving to be very busy with both Phillip and Allison (chair and secretary) being unavailable at the weekends. For discussion at next meeting.
Collaboration Group meeting.
Phillip and Allison attended the meeting held earlier in the month. It was a very positive meeting. PHA and the Friends of the Museum were both asked for ideas to contribute to the discussion and these were all minuted. Funding has been secured for the next financial year. Priority will probably go to structural repairs to the roof which will take a large portion of funding, however, restoration of the café and drainage to the main playing field are high on the agenda.
New Data Protection Regulations.
GDPR is effective as from 25th of May. All records held will have to be protected. Phillip has offered to do all the necessary work for this at a reduced cost to the association. This does need to be agreed by a full meeting and it would be appreciated if everyone will make an effort to attend.
Suggested that we invite Gareth for a meal, possibly after the meeting in July, in recognition of his work in getting the association back on track
